Mobilisation/Admin Office
We are seeking an organised and proactive Mobilisation & Administration Assistant to join a busy team supporting mining and industrial projects. This position is based in Wangara.
This is a temp-to-perm opportunity for someone who enjoys a varied role combining personnel mobilisation, travel coordination, compliance documentation and general office administration. You will play a key role in ensuring personnel are site-ready, onboarding requirements are met and projects run smoothly.
Key Responsibilities:
- Coordinate the mobilisation and demobilisation of personnel to mining and industrial sites
- Arrange flights, accommodation and ground transport, communicating travel itineraries, rosters and changes
- Book medicals, drug and alcohol screening, training and site inductions
- Maintain training and competency registers, monitor expiry dates and coordinate renewals
- Coordinate uniforms, PPE and site information with supervisors
- Manage incoming calls, shared inboxes, visitors and general enquiries
- Maintain accurate personnel files, project records, contact lists and document registers.
- Collect and check timesheets, raise approved purchase orders and collate documentation for the accounts team.
- Update job information in company systems and provide general project administration support.
- Coordinate office supplies, couriers and other general office requirements
To be successful in this role, you will have:
- Previous experience in administration, mobilisation or a similar coordination role.
- Excellent organisational skills and attention to detail.
- The ability to manage competing priorities and changing requirements in a fast-paced environment.
- Strong written and verbal communication skills.
- Confidence using Microsoft Outlook, Word, Excel and online portals
- Experience using Simpro or similar job management systems.
