Project Administrator
Location: Footscray, VIC
Hourly Rate: $50 p/h
Contract Role: 6 months, initial term
Are you an experienced Project Administrator with a strong background in either Health, Safety, Environment and Quality OR, warehouse and stores operations on a major project? If so, I'm looking for 2 x proactive professionals to join my clients dynamic team in Footscray.
The Role
These two positions will see you working as part of a large capital project team, based in Footscray, accountable to a large infrastructure project for a 6 month + package of work.
One position will see you work as part of the onsite, Health & Safety team whilst the other role is part of the onsite warehouse / material management team.

The Role

Key Responsibilities (H&S):
- Provide full administrative support to the project team.
- Coordinate meetings, schedules, and compliance training in line with project requirements.
- Co-ordinate and schedule compliance training requirements for all onsite project staff.
- Must be able to balance multiple priorities and, shift focus through the day as required.
- Manage new employee inductions.
- Liaise with customers, suppliers, and stakeholders both internally and externally.
- Ensure compliance with record-keeping and submit HSE month-end reports.
- Assist the HSE Manager with initiatives and ad-hoc projects.
Key Responsibilities (Warehousing):
- Act as the key point of contact to ensure materials and rotables meet project timelines.
- Plan and manage project materials based on review of BOM's, forecasts and project needs.
- Oversee internal inventory, ensuring availability of parts and managing procurement.
- Generate and present inventory reports, tracking material shortages and ordering.
- Drive on-time transport of materials, managing logistics and necessary documentation.
- Support vendor management, including Work-in-Process (WIP) reviews and forecasts.
- Review open orders, in-transit materials, and work-in-progress to align with project timelines.
- Contribute to continuous improvement in internal processes and site safety initiatives.
What You’ll Need:
- Experience with Microsoft Office (Excel, Word, Outlook).
- (H & S Role) Exposure to HSE / Compliance management software would be highly desirable.
- (Warehouse Role) Exposure to MRP / ERP systems.
- Exposure to a project delivery environment either in Construction, Mining, Infrastructure or Rail.
- Ability to complete a pre employment medical.
- Strong attention to detail and ability to work in a fast-paced project environment.
- Excellent communication, time management and prioritisation skills.
