Payroll / Administration Officer

2XM Recruit are currently looking for an experienced Payroll / Administration Officer to work with one of our national clients in the Eastern Suburbs, this is a long term position, immediate start available.

This role is responsible for:
  • Processing of payroll
  • Maintain the competency management system
  • Coordination of travel arrangements as required
  • General administrative, communication and office support services.
Key Responsibilities
  • On-site payroll processing and submission to Payroll Shared Services in a timely manner
  • Kronos to SAP costing process
  • Ensure Employees are paid in accordance with the correct Enterprise Agreement
  • Understand Enterprise Agreements relevant to the Employees
  • Act as the point of contact for Wages Employees in relation to Payroll/HR enquiries and relay these to the appropriate Department
  • Assist with the management of labour hire timesheets and liaise with labour hire providers
  • Coordinate travel and accommodation requests as required
  • Maintain the QMP
  • Ensure qualifications, tickets, licenses, inductions are captured and uploaded in the QMP in accordance with the appropriate procedure
  • Notify Project Managers and Supervisors of expiring qualifications – renew medicals, high risk VOCs and First Aid qualifications as required
  • Provide evidence of the management of training and competency records to Auditors upon request
  • Analysis of Service Order Costs, Expenses and Labour and Hourly Charge Rates
  • Creation of Service Orders
  • Co-ordinate and prepare reports as required, ensuring all reports are accurate and completed in a timely manner
  • Provide administration support to the P&C Business Partner WA & SA, the HSE Advisor WA and the Senior Management Accountant as required
  • Liaising with Planners, Project Managers
  • Raising of customer invoices & dispatching invoices to customers
  • Closing out Service Orders for completed jobs as required
  • Assisting with Cost accruals
  • Other duties as directed
  • Ensure compliance with all record keeping requirements
  • Undertake any adhoc projects, initiatives, tasks as directed 
Qualification and Education Requirements
  • Knowledge of Kronos and SAP Payroll interface, including job costing concepts.
  • Strong communication skills (oral & written) including strong negotiation and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally
  • Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast- paced environment with multiple and competing demands
  • Proficient skills in computers: MS Word, Excel, email
  • Have a current Police Clearance or willing to obtain
  • Pass Pre Employment Medical inc Drug and Alcohol Testing.
  • Must be customer focused, team oriented, accountable and results driven
  • Must be energetic with a positive can-do attitude
  • Ability and willingness to adapt, quickly learn and put to use new skills and knowledge brought about by rapidly changing structure, process, information and/or technology
  • Previous experience gained in the rail, automotive, military, defence, avionics would be beneficial but not essential.
