PROJECT COORDINATOR / ADMINISTRATOR

2XM Recruit are partnering with a well-established Western Australian Plumbing & Gas Contractor to recruit a Project Coordinator / Administrator to support the delivery of residential maintenance, defects and service-based plumbing works across the Perth metropolitan area.
This is an excellent opportunity for a highly organised and detail-oriented coordinator who enjoys working in a fast-paced environment, juggling multiple moving parts and ensuring jobs are delivered efficiently from start to finish.
Working closely with the management team, plumbers, subcontractors and customers, you will play a key role in coordinating incoming work orders, scheduling trades, tracking job progress and ensuring a high level of customer service throughout the process.
The Role
This role sits at the centre of day-to-day operations and will be responsible for ensuring maintenance and defect works are planned, scheduled and completed efficiently.
You will be the key point of coordination between customers, tradespeople and internal stakeholders while maintaining accurate records and ensuring all jobs are progressed in a timely manner.
Key Responsibilities
- Coordinate and schedule plumbing maintenance and defect works across multiple residential properties
- Liaise with customers, tenants, builders and internal stakeholders regarding job progress and scheduling
- Allocate work to plumbers and subcontractors whilst managing daily schedules
- Track and monitor job status from initial request through to completion
- Maintain accurate job records, work orders and project documentation
- Assist with procurement and coordination of materials when required
- Prepare reports and updates for management regarding outstanding and completed works
- Manage incoming calls, emails and service requests
- Ensure all administrative and compliance documentation is accurate and up to date
- Provide general project and operational support to the wider team
About You
- Previous experience in a Project Coordinator, Project Administrator, Service Coordinator or Scheduling role
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- Excellent attention to detail and administrative capability
- Strong communication skills and confidence dealing with customers, tradespeople and stakeholders
- Proficient computer skills including Microsoft Office and Excel
- Ability to work autonomously while maintaining a high level of accuracy
- Positive, proactive and solutions-focused attitude
Highly Regarded
- Experience within plumbing, construction, maintenance, facilities management or trade-based environments
- Previous scheduling or service coordination experience
- Exposure to residential construction or defects management
- Experience using job management, scheduling or maintenance software
- Understanding of construction terminology and workflows
